Cancellation & Refund Policy

If this page conflicts with a signed CareOS Engagement Agreement, the signed contract controls for that engagement. Meridian parent-site consulting/civic terms (meridianbcg.com) are separate.
1. Who this covers
This policy covers the Overseer (household contracting party) and Meridian Business & Civic Group, LLC for CareOS Operator and related fees on the public price book / signed invoice. CareOS is household care logistics with a human Operator — not a licensed home-health agency, medical provider, EHR, law firm, or emergency service. Nothing here is medical, legal, or tax advice. For emergencies call 911.
2. Term, auto-renewal & notice
Unless your signed engagement says otherwise:
- Initial term: 3 months from the Start date on the signed engagement.
- Auto-renewal: successive 3-month terms.
- Non-renewal: either party may stop auto-renewal with 14 days' written notice before a renewal.
Overseers: email invoicing@lifeos.meridianbcg.com and support@meridianbcg.com with your name, household/engagement id if known, and whether you are declining the next renewal. Phone notice to 737-260-1410 or 737-429-1271 is welcome; written email starts the notice clock. Timely notice ends the engagement at the end of the then-current term (unless you and Meridian agree otherwise in writing). Notice given fewer than 14 days before renewal may not prevent that renewal from taking effect.
3. Mid-term cancellation
You may request an earlier end by written notice to invoicing@ and admin@. Meridian is not obligated to prorate or refund Operator, Legal Admin, stand-up, seat, card-hosting, screening, or other paid amounts for the unused portion of a current term, except as required by applicable law or as Meridian agrees in a written exception. Fees already invoiced or paid for the current term generally remain due. This is not a guarantee of a mid-term exit without remaining balance.

One public price book. After timely non-renewal, Meridian stops charging Operator for periods after the engagement end date; amounts already billed inside the current term remain payable unless law requires otherwise or Meridian credits them in writing.
5. Legal Admin Fee & other lines
The Legal Admin Fee ($41.58/mo) stacks with Operator and is not included in Operator prepaid. Stand-up/build, Google Workspace seats ($19 per seat per month Meridian-hosted), Issuing hosting ($29/mo when selected), required Slack and optional Notion pass-throughs, screening, and quote/Coming add-ons follow signed invoice lines. Card spend is pass-through / client-funded. Referral credits ($350 off next invoice per referred household that signs) are billing credits, not cash refunds of cancelled fees.
6. Operator prepaid — refund posture
Public prepaid: $3,312 once ($1,299 × 3 = $3,897 → 15% off → $3,312 (Operator only)). Legal Admin stacks separately.
- Once Operator services for the prepaid term have started, the prepaid Operator fee for that term is generally non-refundable, except as required by applicable law.
- If prepaid is paid but services never start because Meridian declines or cannot commence, Meridian will refund or not capture the prepaid Operator amount as required by law and ordinary processor practice.
- Unused months / hardship: Meridian may, at its sole discretion, credit unused prepaid Operator months toward other amounts owed or a future engagement. Hardship credits are case-by-case — not an entitlement and not a cash-refund guarantee.
7. After cancellation / non-renewal
Meridian may deactivate seats and revoke Meridian-controlled Issuing cards. Data export and retention follow the CareOS Privacy Policy and any signed exhibits. Third-party products remain under their own terms.
8. Chargebacks & disputes
Contact invoicing@lifeos.meridianbcg.com before a card-network dispute so Meridian can review billing. Nothing here waives rights you cannot waive under applicable law.
9. Changes & related documents
We may update this policy; the effective date will change. Related: Legal hub · CareOS Terms of Use · CareOS Privacy Policy. Governing law follows the Terms (Texas · Travis County), subject to the signed engagement and mandatory consumer protections.

Email & encryption: CareOS stakeholders are either Google Workspace guests or seated users on the household domain. Seated users follow a naming convention and a forward-to policy. Stakeholders sit in a security group (access) and a mailing group (collective updates without showing other recipients). Some aliases use restricted encryption policies. Mail is protected in transit to Google; when messages are forwarded to a personal inbox (including Yahoo), end-to-end options such as S/MIME may not be available.
