What CareOS is

CareOS is a human Operator plus a shared board for household care logistics. Software remembers. A person still decides, dispatches, and follows up.

What it is not

CareOS is not a medical chart, EHR, or clinic system. Do not place diagnoses, medications, lab results, or clinic paperwork here.

Public catalog

The current CareOS Care Management Engagement is at /contract. The public Pricing page lists the Operator Fee ($299/week or $1,299/mo), Legal Admin Fee ($41.58/mo), a $350 referral credit after a referred household signs an engagement (credits stack; every Overseer can refer), Custom Software Suite, Google Workspace at $19 per seat per month (Billed after the month of use.), CareOS Care Hub software at $9/mo per household (on top of the Google seat), required Slack workspace (required) (Pro $8.75 per billed member/mo default, pass-through), optional Notion upgrade (optional) (Plus $12/member/mo or Business $24/member/mo), the add-on for an additional patient, Operations Costs, Labor Compliance (W-9 / 1099 $14/yr; I-9 + W-2 $19/yr), helper screening (client totals on /pricing), and the optional BaaS fee. Billed in arrears on one monthly invoice: Google Workspace seats ($19 per seat per month), CareOS Care Hub software ($9/mo), Slack seats, and Legal Admin — plus Notion Plus/Business (pass-through at cost), BaaS fee, and/or Stripe Identity only if the household opts in — charged on the next invoice after the month of use, not upfront. Prices as of Oct 2026. Emergency Contacts and Providers may be Workspace guests — not paid $19 seats. Existing engagements use the Workspace seat Change Order until they re-sign. No checkout before invite-only accept. Engagements are e-signed with Zoho Sign.

Slack

Slack is required: one private workspace per household, passed through at Slack's invoiced rates (Pro by default; Business+ only if needed). The household pays the Operator's seat and each Overseer/Helper seat; Emergency Contacts are free; Providers are not on Slack. Billed per active member. No health information on Slack. A signed no-PHI-on-Slack acknowledgment is required before any Slack invite.

CareOS Care Hub

CareOS Care Hub software: $9/mo per household, on top of the Google Workspace seat ($19 per seat per month). Billed in arrears on one monthly invoice: Google Workspace seats ($19 per seat per month), CareOS Care Hub software ($9/mo), Slack seats, and Legal Admin — plus Notion Plus/Business (pass-through at cost), BaaS fee, and/or Stripe Identity only if the household opts in — charged on the next invoice after the month of use, not upfront.

BaaS fee

BaaS fee (optional): $29/mo. BaaS (banking-as-a-service) fee for the Stripe Issuing card program. Charged entirely by Meridian Business & Civic Group — not a Stripe pass-through. Card spend has no Meridian Business & Civic Group markup.

Helper screening

Helper screening: Background check (Checkr): Basic $54.99, Essential $84.99, Complete $119.99 per report, plus any court/database fees. MVR: $24.50 per check plus the state DMV fee. Stripe Identity: $11.50 per verification. Stripe Identity is required only when Meridian Business & Civic Group takes a major role in onboarding the helper (Meridian Business & Civic Group–sourced / onboarded). It is optional for helpers the household sources itself.

Accountability

Using the board does not replace the Operator. Matching produces a shortlist. A person still assigns.

Household documents

A medical power of attorney is required. A Living Will is optional. After accept, the Operator sends the household intake link for those documents and health details (Google Form under Workspace BAA) — not on the public apply form, not Notion, not email, and not as PHI fields in CareOS. Intake form link coming soon — the Operator will send it to you directly. The September 20, 2026 “Overseer portal only” upload lock is superseded for public legal pages. Draft legal services are Meridian Business & Civic Group territory with a separate list-price menu, not CareOS checkout. Living Will draft is on that Meridian Business & Civic Group menu. Witness, Live Notary (not wet, $35 avg), Wet Notary (wet-seal, $65/appointment), and RON (Coming soon — Quote) are separate Meridian Business & Civic Group notary-line add-ons — not bundled. Notion: Source of Truth & Data Policy

Notion is the system of record for non-health care logistics — open loops, owners, timing, follow-up, and household coordination on the Open Loops board.

Health information stays in Google Workspace under Meridian Business & Civic Group's signed BAA with Google. Health information is never synced to Notion or Slack.

What syncs to Notion: care-logistics board content (tasks, owners, status, non-clinical notes the household and Operator place on the board). What does not sync: diagnoses, medications, labs, clinic paperwork, medical power of attorney files, Living Will files, or other health documents.

The client owns their household logistics data in Notion. At offboarding, Meridian Business & Civic Group will provide an export of the household's Notion board content upon written request.

Retention: Meridian Business & Civic Group retains Notion logistics records for the engagement term and a reasonable post-engagement period needed for billing, dispute resolution, and ordinary business records, then deletes or archives per Meridian Business & Civic Group retention practice — unless law requires longer retention. Email & encryption: CareOS stakeholders are either Google Workspace guests or seated users on the household domain. Seated users follow a naming convention and a forward-to policy. Stakeholders sit in a security group (access) and a mailing group (collective updates without showing other recipients). Some aliases use restricted encryption policies. Mail is protected in transit to Google; when messages are forwarded to a personal inbox (including Yahoo), end-to-end options such as S/MIME may not be available.
