Marketing chrome stays split — Meridian Business & Civic Group does not appear on CareOS nav or product pages. 1. What CareOS is
CareOS is a human Operator plus a shared board for household care logistics. Software remembers. A person still decides, dispatches, and follows up. CareOS is not a medical chart, EHR, or clinic system.
2. Accept, pay, e-sign
Invite-only accept. No checkout, no medical power of attorney file, and no full medical on the public apply form. After accept the Client e-signs this Engagement with Zoho Sign, pays as invoiced, and acknowledges Privacy and Terms. A medical power of attorney is required. A Living Will is optional. Complete those on the external household intake form after accept — not in CareOS. This is not attorney advice. Draft legal services are Meridian territory, not CareOS checkout.
3. Fees
- Operator Fee: $35/hr × 10 hrs/week per patient = $299/week, or monthly option $1,299/mo. 10 billable hours submitted every Friday evening per patient.
- Legal Admin Fee: $41.58/mo (≈ $499/yr). Mandatory. 100% Meridian, not attorney advice. The Legal Admin Fee always sits on top of Operator — it isn’t baked into the Operator price. If you pay Operator weekly, Legal still comes as its own bill once a month, on the same calendar day you signed the contract. If you pay Operator monthly, Legal shows up as a separate line on that same monthly invoice.
- Custom Software Suite: $1,999 one-time for the first patient.
- Add-on patient: $999 one-time. A second Overseer is a Workspace seat, not this line.
- Google Workspace seat: $19 per seat per month. Billed after the month of use. Zero included seats.
- CareOS Care Hub software: $9/mo per household, on top of the Google Workspace seat ($19 per seat per month).
- BaaS fee (optional): $29/mo. BaaS (banking-as-a-service) fee for the Stripe Issuing card program. Charged entirely by Meridian Business & Civic Group — not a Stripe pass-through. Card spend has no Meridian Business & Civic Group markup.
- Helper screening: Background check (Checkr): Basic $54.99, Essential $84.99, Complete $119.99 per report, plus any court/database fees. MVR: $24.50 per check plus the state DMV fee. Stripe Identity: $11.50 per verification. Stripe Identity is required only when Meridian Business & Civic Group takes a major role in onboarding the helper (Meridian Business & Civic Group–sourced / onboarded). It is optional for helpers the household sources itself.
- Slack workspace (required): Pro $8.75 per billed member/mo (default); Business+ $18 per billed member/mo only if needed. Pass-through. Prices as of Oct 2026.
- Notion upgrade (optional): Plus $12/member/mo or Business $24/member/mo. Pass-through. Prices as of Oct 2026.
- Synapse Play for a CareOS household is billed on the CareOS invoice, not standalone Stripe Subscribe.
- Labor Compliance — W-9 / 1099 filing $14/yr; I-9 + W-2 $19/yr. Household is the employer. Filing support only — not tax advice.
Pass-through fees are billed at the vendor's invoiced rates — no Meridian Business & Civic Group markup. Rates may change. Slack is required: one private workspace per household, passed through at Slack's invoiced rates (Pro by default; Business+ only if needed). The household pays the Operator's seat and each Overseer/Helper seat; Emergency Contacts are free; Providers are not on Slack. Billed per active member. No health information on Slack. A signed no-PHI-on-Slack acknowledgment is required before any Slack invite.
OPTIONAL — Notion Plus $12/member/mo or Business $24/member/mo. Plus for a shared family workspace with fewer limits; Business when you want AI Meeting Notes and Notion agents. Guests are free.
Meridian / CareOS coordinates caretaking ops, matching, and Labor Compliance packaging. Household-employer filings (W-9 / 1099 and I-9 + W-2) are live. Filing support only — not tax advice. The household is the employer.
Private custom discounts are quoted privately and are never listed on this page.
4. Google Workspace
Any seated Overseer or Helper is a paid seat at $19 per seat per month. Billed after the month of use. Emergency Contacts and Providers may be Workspace guests. They are not paid $19 seats and not Overseer or Helper accounts, and they have no full portal accounts. Helpers are never auto-seated. Workspace does not proceed until a forward-to alternate email and a card rail (own prepaid or Stripe Issuing via the BaaS fee) are on file. Health information stays in Google Workspace and is never synced to Notion or Slack.
5. Notion: Source of Truth & Data Policy
Notion is the system of record for non-health care logistics — open loops, owners, timing, follow-up, and household coordination on the Open Loops board.
Health information stays in Google Workspace under Meridian Business & Civic Group's signed BAA with Google. Health information is never synced to Notion or Slack.
What syncs to Notion: care-logistics board content (tasks, owners, status, non-clinical notes the household and Operator place on the board). What does not sync: diagnoses, medications, labs, clinic paperwork, medical power of attorney files, Living Will files, or other health documents.
The client owns their household logistics data in Notion. At offboarding, Meridian Business & Civic Group will provide an export of the household's Notion board content upon written request.
Retention: Meridian Business & Civic Group retains Notion logistics records for the engagement term and a reasonable post-engagement period needed for billing, dispute resolution, and ordinary business records, then deletes or archives per Meridian Business & Civic Group retention practice — unless law requires longer retention. 6. Household
Up to 2 Overseers and up to 2 patients per account. Two Emergency Contacts are collected for every one patient after accept, during patient history. Emergency Contacts and Providers may be Workspace guests. They are not paid $19 seats and not Overseer or Helper accounts, and they have no full portal accounts.
7. Invoice
Meridian bills the CareOS invoice. Billed in arrears on one monthly invoice: Google Workspace seats ($19 per seat per month), CareOS Care Hub software ($9/mo), Slack seats, and Legal Admin — plus Notion Plus/Business (pass-through at cost), BaaS fee, and/or Stripe Identity only if the household opts in — charged on the next invoice after the month of use, not upfront. Google Workspace appears as its own line at $19 per seat per month for each seated Overseer or Helper. CareOS Care Hub appears as $9/mo per household. Required Slack and optional Notion upgrades appear as pass-through lines at the vendor's published rates. Meridian updates Zoho separately.
8. Control
If a prior writing said Workspace seats were included, Overseers-only, prepaid upfront, at-cost pass-through, or $19.99, this Engagement — or the Workspace seat Change Order for engagements already signed — controls. Workspace seats are $19 per seat per month, billed after the month of use.
